Warm desk, explained for the desk.

What it is, why it matters, and how your AI employee runs it.

What it is

A warm desk (also called a hot desk) is an established recruitment desk or territory that already has an active client base and a working pipeline to run when a consultant takes it over. Live accounts, warm relationships and often a built candidate database come with the desk from day one. It is the direct opposite of a cold desk, which starts with an empty CRM and nothing to work but the market itself.

Warm desks change hands for ordinary reasons: a consultant is promoted into management, moves to a different division, goes on leave, or leaves the agency altogether, and someone else inherits the territory they built. The desk is warm because the groundwork, the client relationships, the open roles, the candidate pipeline, already exists. What it is not is guaranteed goodwill: the clients were loyal to the person who built the relationship, not automatically to whoever replaces them.

A warm desk is inherited. Staying warm is not, that part still has to be earned.

Why it matters

The economics of a warm desk are the reason every recruiter wants one. Commission is close, not months away, because there is already a live pipeline converting. A new consultant can spend their first weeks on delivery and account growth instead of pure prospecting, which is exactly why warm desks are handed to junior or newly promoted consultants as a running start rather than a trial by fire.

The risk is complacency, not scarcity. A warm desk that is not actively worked cools fast: clients who do not hear from a new point of contact drift to a competitor, candidates in the pool go stale, and the goodwill built by a predecessor has an expiry date. The consultants who make the most of a warm desk treat the handover as a head start on business development, not a replacement for it, and get in front of every inherited account before anyone else does.

How boilr handles it

A warm desk is only as valuable as the knowledge that comes with it, and that knowledge usually lives in one person's head, or worse, disappears the day they leave. In boilr, every inherited account, its history, its buying patterns, its open roles, sits in the Company Brain rather than in a departing consultant's notes, so a new consultant taking over a desk inherits the targeting intelligence along with the client list.

From day one, the AI sales employee watches every inherited account for buying signals, keeps the existing pipeline enriched and current, and drafts outreach that keeps relationships active during the handover instead of letting them cool while a new consultant gets up to speed. A warm desk built on boilr does not just start warm, it stays warm, because the accounts are being worked automatically from the first day rather than whenever the new consultant gets around to it.

Questions, answered.

Everything a working consultant asks about warm desk, and how boilr puts it to work.

What is the difference between a warm desk and a cold desk?

A warm desk comes with active clients, open roles and often a candidate database inherited from a predecessor. A cold desk has none of that, every account has to be won from scratch through business development alone. A warm desk is the direct opposite of a cold one.

How does a consultant typically end up with a warm desk?

Usually through an ordinary personnel change: a colleague is promoted, moves to a different division, goes on leave or leaves the agency, and the territory they built passes to someone else. Some agencies also deliberately hand warm desks to promising junior or newly promoted consultants as an on-ramp.

Is a warm desk always easier than a cold desk?

Commercially, yes, because the first payout is closer. But a warm desk does not forgive inactivity: clients who are not actively worked drift away fast, and the inherited relationships were originally loyal to the predecessor, not automatically to whoever takes over.

What happens to a warm desk if the consultant leaves?

Without a system, the knowledge usually leaves with them: which accounts matter, which signals count, who the real decision-maker is. That is exactly why a warm desk often turns colder with every handover, unless that knowledge is captured somewhere other than one person's head.

How does boilr use warm desk in practice?

When a consultant takes over a warm desk, every existing account already sits in the Company Brain, and boilr immediately starts watching them for buying signals, keeping them enriched and drafting outreach that keeps the inherited relationships active. The desk does not cool off during the handover, it stays in motion from day one.
