Candidate Privacy Notice

This notice is for people whose professional profile boilr finds when searching for candidates on behalf of our clients.

1. Who is responsible?

2. What do we do?

Our clients are recruitment agencies and companies filling open roles. boilr searches for people whose professional profile matches a role. Our software automatically compares profiles with the role's requirements and creates a shortlist (profiling). We suggest this shortlist to the client.

3. What data do we process?

Name, current and previous positions, employers, education, qualifications, location, links to public profiles and business contact details such as business email addresses. We do not deliberately collect or evaluate information about health, religion, ethnic origin, political opinions or other specially protected characteristics.

4. Where does the data come from?

Only from publicly available sources, such as professional networks, code platforms and company websites. We use specialised search and data services for this.

5. Legal basis

Art. 6(1)(f) GDPR and UK GDPR. Our legitimate interest, and that of our clients, is to find suitable candidates for open roles. People who make a professional profile publicly available generally expect to be contacted about career opportunities.

6. Who receives the data?

• The client whose role matches your profile. If the client saves your profile or contacts you, the client is responsible for that.
• Service providers who support us technically, such as hosting, AI and data services. They process the data only on our instructions.

We do not sell your data.

7. Transfers outside the EU/UK

Some of our service providers may be located outside the EU or UK, for example in the USA. In that case, we ensure appropriate safeguards, such as an adequacy decision (for example the EU-US Data Privacy Framework) or Standard Contractual Clauses. You can request a copy at privacy@boilr.ai.

8. How long do we keep the data?

We only keep your profile as long as it is needed for candidate search, and we regularly delete profiles that are no longer needed. If you object, we delete your profile immediately. If a client has saved your profile, the client decides how long to keep it.

9. Your rights

You have the right to access, rectify, erase and restrict the processing of your data. You can also lodge a complaint with a data protection authority, such as the Berlin Commissioner for Data Protection and Freedom of Information or, in the UK, the Information Commissioner's Office (ICO).

11. Who decides?

Our software creates an automated shortlist. Whether and whom a client contacts is always decided by a person at the client.
